Administrative Associate Duties and Responsibilities


Administrative employees perform administrative tasks in companies. The role is similar to that of an administrative assistant but at a higher level. Administrative employees typically spend less time in secretarial duties and instead focus more on departmental operations. They can report directly to higher level management.

Administrative employees work regularly in an office, although they may need overtime during exceptionally busy periods. Any organization benefiting from administrative support can hire administrative partners to find work in companies, public bodies, non-profit organizations, education and other sectors.

Administrative employees are proactive office managers who know the policies and procedures and act accordingly. They interact with people above and below them in a hierarchical structure and can act as a link. Monitor budgets

Administrative employees often deal with financial transactions. They can approve expenses, issue payments to suppliers, manage cash, collect cards, manage wages and track account balances. Ordering office supplies and furniture can also be your responsibility. Managers and other staff members can consult with administrative partners to determine if a purchase they wish to make falls within the company's budget. Likewise, if the numbers are not added correctly, the administrative employee will report the situation to the correct person.

From maintaining a central calendar to organizing business lunches, administrative employees use their planning skills for the good of the department or company. Take responsibility for special projects, such as setting up branch offices, organizing conference tours, scheduling maintenance, executing mass mailings, coordinating participation in conference calls and managing RSVP for events.

When a confidential or email report is to be written for a demanding client, the job is delivered to an administrative associate because this person is expected to be complete, discreet and responsive. Likewise, administrative employees may be instructed to open mail for managers because of their ability to maintain the confidentiality of information. Due to their reliability, administrative employees often have the keys to offices and closets.
